1. From 12:01 a.m. EDT on 03 June 2026 through 11:59 p.m. EDT on 30 June 2026 (the “Offer Time Period”), the ratio for the amount of cabins needed to earn either the complimentary cabin or the two (2) percent bonus commission will adjust to one (1) complimentary cabin for every twelve (12) eligible cabins booked. This offer will apply to any Group Shell created within the Offer Time Period.

THESE TERMS AND CONDITIONS GOVERN THE HANDLING OF GROUP (THAT IS, “GROUPS”) BOOKINGS MADE UNDER THE BELOW TERMS AND CONDITIONS.  IT IS ISSUED BY VIRGIN CRUISES INTERMEDIATE LIMITED (“VIRGIN VOYAGES,” “WE”, OR “OUR”) AND IS BINDING UPON VIRGIN VOYAGES AND GROUP LEADER OR FIRST MATE ONCE HE/SHE BOOKS THE GROUP. THE GROUP LEADER OR FIRST MATE EXPLICITLY AGREES TO THE TERMS HEREIN, AND AGREES THAT WE MAY CHANGE, MODIFY, AND UPDATE THE TERMS AND CONDITIONS HEREIN, AND NOTICE MAY OR MAY NOT BE GIVEN.

Some Groups require a signed contract or are bound by separate terms and conditions; those Groups bound by contract shall be bound solely by that contract. These Terms and Conditions apply to all Group travel not bound by a separate Contract and not booked under the Groups Offer. 

I. General

1. There are a number of brand-specific terms we use within these Terms and Conditions:
Cabins: as used in these Terms and Conditions, a cabin refers to a cabin as well as a suite (or what we refer to as “Rockstar Quarters”).
  • Cancellation Policy: Found in the relevant Virgin Voyages Ticket Contract. 
  • First Mate: a travel agent registered with Virgin Voyages.
  • FirstMates.com: A Virgin Voyages’ travel agent portal.
  • FIT to Include: the process of moving an eligible Flexible Independent Traveler booking (FIT), that has Sailor details and has satisfied payment from outside the Group Shell into the Group Shell, making this part of the Group.
  • Groups: our brand word for our groups program applicable to these terms and conditions.
  • Group Leader: the group travel organizer, i.e., the Group’s primary contact/planner.  
  • Group Shell: the reservation of cabins for group travel.
  • Sailor: a passenger (or prospective passenger) on one of Virgin Voyages’ ships.
  • Sailor Services: Virgin Voyages’ call center, where our representatives assist with all our prospective Sailors’ needs.
  • Ticket Contract: refers to the relevant Virgin Voyages Ticket Contract found here
  • Voyage: a Virgin Voyages cruise.
  • Voyage Fare: cost for reserving one cabin on a selected Voyage excluding taxes, fees and add-ons. 
  • VoyageFair Choice(s): our brand word for the three distinct pricing tiers for Sea Terrace and below cabins (Premium fare, Essential fare, or Base Fare).
 
II. Booking Process

1. Subject to the terms and conditions herein, including without limitation Section V. (Recall Dates/Inventory Reviews/Minimum Activity Required), Groups may be booked:
  • Directly through Sailor Services by the Group Leader, or
  • Through a First Mate via Sailor Services, our Groups Team, or via FirstMates.com.
2. For Groups booked more than 120 days before the selected Voyage sail date:
  • A 20% deposit on all the Voyage Fares of the selected Group cabins is required; and 
  • Sailors’ requested information is required.
3. For Groups booked 120 days or less than the selected Voyage sail date:
  • Full payment of Voyage Fares of the selected Group’s Cabins is required at time of booking; and 
  • Sailors’ requested information is required at time of booking.
Group bookings made 120 days (or less) before the selected Voyage sail date will not have an option to hold cabins.

4. By creating a Group Shell, the Group Leader or First Mate is able to lock current pricing and current combinable promotions being offered at time of Group Shell creation. Group Shells will be restricted to a maximum of 75 Sea Terrace cabins (“TR cabins”) and/or Central Sea Terrace cabins (“TC cabins”) at the time of creation. No other cabin category is eligible to be part of the Groups program as unnamed space. Group Leaders or First Mates may request additional cabins for the Group Shells at any time at the prevailing rate and current promotion, which we may agree to at our sole discretion.

Additionally, only Essential fare and Premium fare options are available for cabins being held as unnamed space within a Group Shell. Our Base fare and Lock-It-In Rates are not eligible to be held as unnamed space.

5. Once a cabin has secured the necessary sailor details and satisfied payment, it will follow the standard booking policies per our Ticket Contract.

6. All bookings within a Group must have the same First Mate agency and use the same currency.

7. The Group Shell’s cabins are assigned when the requested Sailor information and 20% deposits, or full payment based on time of booking, are received.

8.  First Mate or Group Leader can hold up to 5 Group Shells with unnamed inventory at any given time.

9.  First Mate or Group Leader can hold only 1 Group Shell per eligible Voyage.

10. First Mates or Group Leaders may not use their personal or corporate credit cards to place deposits or final payments on behalf of Sailors.

11.1. Combinability and Eligibility. This Groups offer is combinable with select public promotional offers as expressly included in those offers. This applies to all bookings either created within the Group Shell or brought into the Group Shell through our FIT to Include process. Promotions that are not combinable or eligible for the Groups offer will be removed.

11.2. The My Next Virgin Voyage offer is combinable with this Groups offer when the cabin category is The Sea Terrace or Central Sea Terrace and either our Premium fare or Essential fare is applied to the booking.

III. What’s in it for the Group Leader (or First Mate organizing the Group)?

1.1. Group Leaders who organize the Group will receive the following benefit:

One complimentary cabin for every sixteen (16) paid cabins, without limit. The complimentary cabin may be used by anyone in the Group. The complimentary cabin covers the Voyage Fare only, the booked Sailor is responsible for taxes, fees and add-ons. The additional complimentary cabin is granted only after reaching thresholds of cabins in increments of sixteen (16).  For example, the Group Leader will receive one (1) complimentary cabin for a Group with 30 cabins booked, and two (2) complimentary cabins for a Group with 40 cabins booked. The category type of the complimentary cabin will be determined by matching to what the majority of the cabin category is within the Group Shell, but no greater than the Sea Terrace cabin category. For example, if a Group Shell of sixteen (16) cabins has nine (9) Insider cabins, the Group Leader or First Mate will receive a complimentary Insider cabin.

1.2. The complimentary cabin is not available for resale. These cabins can only be booked within 120 days prior to the Voyage sail date. The complimentary cabin is eligible for a name change pursuant to the Ticket Contract and must be utilized by a Sailor in the Group. Excessive cancellation of these complimentary cabins within 45 days of a Voyage could result in future exclusion from participation in this program.  

1.3. Eligible bookings created outside of the Group Shell and brought into the Group Shell through our FIT to Include process will count toward the sixteen (16) cabins to earn your complimentary cabin. To be considered an eligible FIT to Include booking, the booking must be either an Essential fare cabin, Premium fare cabin, Base fare cabin, RockStar Suite, or Mega RockStar Suite. The Group Leader or First Mate must also have assigned sailor details, and satisfy the payment amount due at the time of adding to the shell. Please refer to your promotion eligibility to ensure your FIT to Include reservation is eligible and combinable with our groups program. For the avoidance of any doubt, our Lock-It-In rates are not considered eligible bookings.

2.1. First Mates who organize the Group may elect the complimentary cabin described above or two (2) percent bonus commission based on the Voyage Fare (excluding taxes, fees and other non-commissionable purchases) for all eligible paid cabins within the Group (no cap on bonus commission dollars earned based on cabin quantity). To be considered eligible, a booking must be either an Essential fare cabin, Premium fare cabin, Base fare cabin, RockStar Suite, or Mega RockStar Suite. For the avoidance of any doubt, our Lock-It-In rates are not considered eligible bookings.

2.2. All First Mates must adhere to the First Mates Sales & Marketing Terms & Conditions.

3. From time to time, Virgin Voyages, within its sole discretion, may offer a promotion that alters the requirements to earn either the complimentary cabin or the bonus commission. Such promotional offers shall be governed by the relevant terms and conditions for that promotion.

IV. What's in it for the Sailor? 

1.1. Eligible Cabins booked within the Group will receive a complimentary Bar Tab based on the length of sailing described below. The Bar Tab is per cabin and will be distributed to Sailor 1. The following chart shows the associated Bar Tab amounts:

1.2. The Bar Tab can only be used on purchases of premium drinks during the Voyage or at The Beach Club at Bimini (if applicable). Premium drinks include, but are not limited to, barista-made coffee, cold-pressed juices, fresh juices and smoothies, energy drinks, health shots, kombucha, non-alcoholic specialty cocktails, and alcoholic beverages. The Bar Tab may not be transferred to pay for other experiences (e.g. Spa) or shore excursions (“Shore Things” in our branding voice). Any unused Bar Tab is not redeemable for cash and is not refundable to the Sailor at the end of the Voyage. The Bar Tab may also not be transferred to another Sailor (though one may purchase premium drinks for another Sailor).

2. From time to time, Virgin Voyages may offer an additional discount on select Voyage Fares for Groups. Any such discount will range from 5% to 15%, as determined by Virgin Voyages in its sole discretion. Not all sailings will be eligible for a discount, and discount availability and amounts will be reviewed daily. If a discount is available, it will be applied  at the time of creating the Group Shell. A list of sailings currently offering an additional discount may be requested by contacting Sailor Services. For First Mates, a list of current eligible sailings will be available on FirstMates.com.

3. Only those Cabins included at the creation of the Group Shell (TR and TC cabins) are eligible to receive the Sailor benefits described in this Section IV. Bookings created outside of the Group Shell later added to the Group will not be eligible for either the Bar Tab benefit or the additional discount. The My Next Virgin Voyage offer is combinable with the Sailor benefits when the cabin category is The Sea Terrace or Central Sea Terrace and either our Premium fare or Essential fare is applied to the booking.

V. Recall Dates/Inventory Reviews/Minimum Activity Required

1. Virgin Voyages reserves the right to recall inventory in a Group Shell at any time and for any reason with 5 day notice to the Group Leader or First Mate (email to suffice).

2. Virgin Voyages reserves the right to contact the Group Leader or First Mate at any time to review the Group’s inventory. During this time, unsold inventory (inventory without full legal names and required deposits) may be recalled at Virgin Voyages discretion.

3. A Group is subject to inventory being recalled if not sold. At 12:00 AM Eastern Time on the recall date, Virgin Voyages will auto-recall any inventory without full legal names and required payments. The recall day is determined by the amount of inventory being held within the Group Shell, shown in the following chart:

4. Group inventory is available on every Voyage; however, inventory is limited to ensure operational and experience satisfaction for all. Group Inventory is on a first come, first served basis.

5. A First Mate or Group Leader must display a level of minimum activity with their held inventory in order to continue holding their inventory until the required recall date. The minimum activity is defined as securing a minimum of 1 booking per 8 cabins held within their shell per month. This means that if you are holding thirty-two (32) cabins within your shell, you need to convert four (4) of your held cabins into bookings with sailor details and necessary payments completed within 30 days.

VI. Modifications/Cancellations

1. Once names and deposits are provided for a cabin within a Group Shell, the reservation will follow our booking policies found within the relevant Virgin Voyages’ Ticket Contract. For the avoidance of any doubt, cancellations and modifications to the reservation made by the Sailor or First Mate will follow our current booking policy in the Ticket Contract.

2. A Group’s Voyage date can be changed up to 120 days prior to Voyage start date; however, the new voyage date will be booked at the prevailing rate and applicable promotions, and is subject to availability.

3.1. At 120 days before the Voyage sail date, your Group Shell must be fully paid and cannot be moved to a different Voyage. If cancellations lower the number of cabins in the Group to under 16 cabins before the Voyage sail date, then the First Mate or Group Leader would lose the Group perks (i.e., complimentary cabin or 2% Bonus Commission) associated with that Group. The Sailor perks (i.e., Bar Tab and Voyage Fare discount if applicable) will remain on the reservation, no matter how low the number of cabins drops.

3.2. Group Shells that fall below the 8 cabin minimum will be monitored for any potential abuse. Any abuse of the Groups program, in Virgin Voyages’ sole discretion, will result in the removal of the Group Leader or First Mate’s ability to book groups with Virgin Voyages in the future, an immediate recall of all existing group shells and any further action Virgin Voyages deems necessary.

VII. Group Events, Add-Ons, and Dining

1. Events and Add-ons: Virgin Voyages provides event spaces based on Group size, availability, and Voyage length, offering complimentary "Morning Spaces" (8:00 AM to 12:00 PM) for the following number of hours during the Voyage based on the following number of nights sailed:

"Evening Spaces" (after 5:00 PM) may be available for an additional fee. Standard event space requests open 90 days before sailing and are confirmed 30 days prior.  All event space requests are on a first-come, first-served basis. Curated add-ons (such as DJs or cocktail events) are also available for pre-purchase. All details, arrangements and costs related to Group events (including event spaces) and curated add-ons are subject to a written event agreement signed by both parties. Venue assignments may be adjusted due to safety, itinerary changes, or operational needs, at Virgin Voyages’ sole discretion. Virgin Voyages reserves the right to decline, modify, or reprioritize requests based on overall demand and operational feasibility.

2. Dining: For dining, Groups are allocated the following planned Group dining events per Voyage based on the following number of nights sailed:

The Group Leader or First Mate can request dining events 120 days prior to the Voyage, selecting from available early or late seating times and venues. Restaurant takeovers, buy-outs, or dining requests may be subject to a separate written agreement based on Group size, at Virgin Voyages’ sole discretion.

“Groups” Offer Terms and Conditions

IT IS ISSUED BY VIRGIN CRUISES INTERMEDIATE LIMITED (“VIRGIN VOYAGES,” “WE”, OR “OUR”) AND IS BINDING UPON VIRGIN VOYAGES AND GROUP LEADER ONCE HE/SHE BOOKS THE GROUP. THE GROUP LEADER EXPLICITLY AGREES TO THE TERMS HEREIN,  AND AGREES WE MAY CHANGE, MODIFY,  AND UPDATE THE TERMS AND CONDITIONS HEREIN,  AND NOTICE MAY OR MAY NOT BE GIVEN.

Some group bookings, that is, “Incentive Circles” or “Corporate Circles,” require a signed contract; those Circles bound by contract shall be bound solely by that contract. These Terms and Conditions apply to Groups booked under this program only.

I.   General

1. There are a number of brand-specific terms we use within these Terms and Conditions:
  • First Mate: a travel agent registered with Virgin Voyages.
  • Sailor: a passenger (or prospective passenger) on one of Virgin Voyages’ ships.
  • Sailor Services: Virgin Voyages’ call center, where our representatives assist with all our prospective Sailors’ needs.
  • Group Leader: the group travel organizer, i.e., the Group’s primary contact/planner.  
  • FirstMates.com: A Virgin Voyages’ travel agent portal.
  • Voyage: a cruise.
  • Cabins: as used in these Terms and Conditions, a cabin refers to a cabin as well as a suite (or what we refer to as “Rockstar Quarters”).
2. These Terms and Conditions outline how a Group Leader or First Mate may hold cabins for thirty (30) days (though this may be less if within 120 days of the selected Voyage, as detailed below) for group travel without all the Sailors’ payment and contact information required to book a Voyage. We call the reservation of cabins for group travel a “Group Shell.”

3. Once the Group Shell is created, and subject to the restrictions herein, the base Voyage fare and applicable promotional offer is locked in as of the day the space is requested. Group cabins may be held without names or deposits for a 30-day option period outside of 120 days from the Voyage sail date. More cabins may be added, but they will be held inside the original 30-day window (that is, a new 30-day window does NOT start). Once a First Mate or Group Leader adds a name and information to a Group Shell, the deposit for that booking is due within the standard 24-hour booking hold period. Failure to pay within the 24-booking hold period will result in the booking being automatically closed. There are some additional caveats:
  • The Group Leader’s booking information and deposit must be received no later than the 29th day after initiating the Group Shell.
  • Notwithstanding the thirty (30) day window provided above, all names and deposits are due at least 120 days before the Voyage sail date. For example, if the Group Shell is made 121 days before the Voyage, all names and deposit information must be provided the next day (i.e., 120 days before the Voyage sail date). For the avoidance of any doubt, full payment for all bookings is due 120 days before the Voyage sail date if booked more than 120 days before the Voyage. Unnamed and undeposited cabins will automatically be dropped after the 30-day option period (or 120 days before the Voyage, whichever is first).
4. A Group must be at least eight (8) cabins and may not exceed 150 Sailors.

5. If a Group drops below eight (8) cabins at any time prior to the Voyage sailing date, it is no longer a Group. Each Sailor will then fall under the individual booking policy (found here) and they will lose all Group amenities (including Bar Tab and applicable ten percent (10%) discount). Full payment will then be due and payable 120 days before the Voyage sail date or immediately if the Sailor falls under the individual booking policy less than 120 days before the sailing.

6. The Group Leader has the option to cancel their Group Shell within the 30-day option window. However, if a Cabin booking cancellation occurs seven (7) days after deposit, the deposit is non-refundable.

7. Certain travel dates may be excluded.

8. Cabins are assigned when the name and deposit are received.

9. While a Group may be booked at 120 days or less before the Voyage sail date, all Sailors will have to provide their financial information (and the entire Voyage fare is due) and their personal information at the time of booking, unless our Flexible Booking Policy is enacted at our sole discretion. No Group may be booked within fourteen (14) days of the intended Voyage.

10. Individual bookings may be converted to a Group before final payment is received if a minimum of eight (8) cabins is reached among all bookings. Individual bookings of at least eight (8) cabins may be converted to a Group up to fourteen (14) days before the Voyage sail date. For the avoidance of any doubt, the ten percent (10%) discount shall only be for those bookings made pursuant to Section III.1. below.

II.   Booking Process

1. Groups may be booked: 
  • Directly through Sailor Services by the Group Leader, or
  • Through a First Mate via Sailor Services or via FirstMates.com.
2. A twenty percent (20%) deposit on all Voyage fares of the Group Cabins, and the co-traveling Sailors’ requested information, is required within thirty (30) days after the Group Shell is created.

3. Deposits are non-refundable seven (7) days after booking.

4. Full payment will be due 120 days from the Voyage sail date for Group Sailors that placed a deposit 121 days or more from the Voyage sail date.

5. All Sailor information and the full payment is required for all Sailors for any Group booked 120 days (or less) from the Voyage sail date. So, depending on when the Group is booked, there may not be a 30-day hold option.

6. Names and deposits would be required at the time of booking additional Group Sailors after the 30-day hold period, with full payment due if the additional Group Sailors are added 120 days or less from the Voyage sailing date.

7. All bookings using a First Mate within a Group must have the same First Mate agency (if a First Mate agency is used) and use the same currency.

8. The Group Sailors’ Cabins are assigned when the Group’s participants’ names and twenty percent (20%) deposits are received.

9. A Group can hold up to sixteen (16) The Sea Terrace and/or Central Sea Terrace cabins without names or deposits within the thirty (30) day grace period.

10. First Mates may not use their personal or corporate credit cards to place deposits or final payments on behalf of Sailors.

III.   Group Benefits

1. Eligibility. For the avoidance of any doubt, the Group benefit of ten percent (10%) discount applies to The Sea Terrace Cabins and The Central Sea Terrace cabins only. Lock-It-In rates, Insider Cabins, SeaView Cabins, Rockstar Quarters and Suites are not eligible for this discount. For the Bar Tab benefit, will apply only to The Sea Terrace, The Central Sea Terrace, The XL Sea Terrace, The Sea Terrace Limited View, and our Rockstar Quarters. The Bar Tab benefit will not apply to our Lock-It-In rates, SeaView cabins, Insider cabins, or  Mega RockStar Quarters.  In the event a Group drops below eight (8) cabins before the Voyage, the Groups benefits shall be forfeited and payment will be due pursuant to the Terms and Conditions herein.

2. Group Shells created 180 days before the voyage embarkation date will receive a 10% discount on the voyage fare in addition to the then-marketed rate (Exclusions apply, subject to applicable combinability rules).

3. Each cabin in the Group will receive a Bar Tab based on the length of Voyage:
  • $100 per cabin - 4-5 Night Voyage 
  • $200 per cabin - 6-8 Night Voyage 
  • $300 per cabin - 9+ Night Voyage 
Bar Tab is not redeemable for cash and is not refundable to the Sailor at the end of the Voyage. For the avoidance of any doubt, only one (1) Sailor per cabin will receive the entire Bar Tab amount listed above.

4. The Group benefits may not be used in conjunction with the following offers, discounts or credits: Contracted Circle Programs; Resident Rates; Casino Rates; Interline Rates; First Mate Rates; Virgin Red Points Offer; Internal reduced rate programs; Exclusive Sailor Loot; Paid in Full bookings; Giveaways; any Promotional, Reduced Rate, or Free Access Keys; or any other promotional offer that excludes Groups. Further, when booking under My Next Virgin Voyage (“MNVV”), the Bar Tab will not be added to the booking.

IV. Group Events

1. Beyond the venue’s standard offerings, Groups may request a cocktail party package or dining reservation at a cost based on availability and subject to the Terms and Conditions herein. Special arrangements for cocktail party packages and dining for the Groups can be made in advance through shoreside Groups Teams, and will be subject to a premium service charge. Virgin Voyages cannot guarantee venues/spaces for a Groups special events. These events and venue space are based on availability and cannot be guaranteed and will be honored on a first come first serve basis.

2. Group Leaders must pay in advance to lock in the cocktail party package for the Group - must be paid as a lump sum to one reservation in the group. If not paid, the cocktail party will be canceled and cannot be reinstated onboard.

3. Due to the 'prepared to order' service in our eateries, we cannot accommodate restaurant takeovers or buy-outs seating everyone at once. Groups can be accommodated in any of the primary restaurants in groups of 25 staggered every 15 minutes. Requests for staggered dining can only be made at least 75 days prior to the voyage and must be paid in full and Group delegates named  at least 90 days prior to the voyage date. Group dining is subject to availability and will only be accommodated on one (1) night of the selected Voyage.

V.   Modifications/Cancellations

1. Cabins may be added to the Group up to fourteen (14) days prior to the Voyage depending on availability. For the avoidance of any doubt, the ten percent (10%) discount will only apply to those bookings made more than 180 days before the Voyage.

2. A Group’s Voyage date can be changed up until 120 days prior to the Voyage start date, based upon availability on future sailings. However, any promotions applicable for the Voyage will be forfeited and the Group Sailors will be responsible for any difference in price.

3. At 120 days the Group’s Voyage is locked in, though cancellations lowering the number in the Group to under eight (8) cabins would result in the remaining Sailors’ reservations being transitioned into individual Sailor bookings. Sailors may detach from a Group up to 120 days prior to the Voyage.

4. If a Group Sailor has funds applied to their reservation, and should that Group Sailor cancel between 120 days and 45 days prior to the Voyage sail date, that Group Sailor will receive a 100% Future Voyage Credit for any voyage fare paid (though money paid for taxes and fees, and bookables would be refunded).

5. A Group cabin category may be upgraded or downgraded 121 days or longer from the voyage sail date, depending on availability. Within 120 days or sooner of the voyage sail date, a Group cabin category may be upgraded only, depending on availability.

 6. Any name can be changed on a Group booking up until 48 hours the Voyage sailing date. Name changes will automatically cancel any insurance for that Sailor, and no monies will be refunded.

7. Our Sailor Services can only modify bookings for Sailors booked by a First Mate if it has no financial impact to Virgin Voyages.

8. A Sailor booked in a Group may transfer his or her booking to another at no cost, however, costs and fees related to that travel, for example, travel insurance, air travel, transfers, and shore excursions, may not be transferable or refundable. Cancellations can be made through Sailor Services or through a First Mate.

9. If a Sailor of a First Mate wishes to cancel the  Group or their delegate booking, the Sailor must do so through their First Mate.

10. If Sailors within the Group cancel, but enough Sailors remain to keep the Group intact, such cancellation will be handled in accordance with Virgin Voyages’ individual booking policies, found here.

“Groups” Offer Terms and Conditions

EFFECTIVE 3 JUNE 2026 AT MIDNIGHT EST, THIS PROGRAM IS NO LONGER AVAILABLE.

THESE TERMS AND CONDITIONS GOVERN THE HANDLING OF GROUP BOOKINGS (THAT IS, “GROUP(S)”). IT IS ISSUED BY VIRGIN CRUISES INTERMEDIATE LIMITED (“VIRGIN VOYAGES,” “WE”, OR “OUR”) AND IS BINDING UPON VIRGIN VOYAGES AND GROUP LEADER ONCE HE/SHE BOOKS THE GROUP. THE GROUP LEADER EXPLICITLY AGREES TO THE TERMS HEREIN, AND AGREES WE MAY CHANGE, MODIFY, AND UPDATE THE TERMS AND CONDITIONS HEREIN, AND NOTICE MAY OR MAY NOT BE GIVEN.

Some group bookings, that is, “Incentive Circles” or “Corporate Circles,” require a signed contract; those Circles bound by contract shall be bound solely by that contract. These Terms and Conditions apply to Groups booked under this program only.

I.   General

1. There are a number of brand-specific terms we use within these Terms and Conditions:
  • First Mate: a travel agent registered with Virgin Voyages.
  • Sailor: a passenger (or prospective passenger) on one of Virgin Voyages’ ships.
  • Sailor Services: Virgin Voyages’ call center, where our representatives assist with all our prospective Sailors’ needs.
  • Group Leader: the group travel organizer, i.e., the Group’s primary contact/planner.  
  • FirstMates.com: A Virgin Voyages’ travel agent portal.
  • Voyage: a cruise.
  • Cabins: as used in these Terms and Conditions, a cabin refers to a cabin as well as a suite (or what we refer to as “Rockstar Quarters”).
2. These Terms and Conditions outline how a Group Leader or First Mate may hold cabins for thirty (30) days (though this may be less if within 120 days of the selected Voyage, as detailed below) for group travel without all the Sailors’ payment and contact information required to book a Voyage. We call the reservation of cabins for group travel a “Group Shell.”

3. Once the Group Shell is created, and subject to the restrictions herein, the base Voyage fare and applicable promotional offer is locked in as of the day the space is requested. Group cabins may be held without names or deposits for a 30-day option period outside of 120 days from the Voyage sail date. More cabins may be added, but they will be held inside the original 30-day window (that is, a new 30-day window does NOT start). Once a First Mate or Group Leader adds a name and information to a Group Shell, the deposit for that booking is due within the standard 24-hour booking hold period. Failure to pay within the 24-hour booking hold period will result in the booking being automatically closed. There are some additional caveats:
  • The Group Leader’s booking information and deposit must be received no later than the 29th day after initiating the Group Shell.
  • Notwithstanding the thirty (30) day window provided above, all names and deposits are due at least 120 days before the Voyage sail date. For example, if the Group Shell is made 121 days before the Voyage, all names and deposit information must be provided the next day (i.e., 120 days before the Voyage sail date). For the avoidance of any doubt, full payment for all bookings is due 120 days before the Voyage sail date if booked more than 120 days before the Voyage. Unnamed and undeposited cabins will automatically be dropped after the 30-day option period (or 120 days before the Voyage, whichever is first).
4. A Group must be at least eight (8) cabins and may not exceed 150 Sailors.

5. If a Group drops below eight (8) cabins at any time prior to the Voyage sailing date, it is no longer a Group. Each Sailor will then fall under the individual booking policy (found here) and they will lose all Group amenities (including Bar Tab and applicable ten percent (10%) discount). Full payment will then be due and payable 120 days before the Voyage sail date or immediately if the Sailor falls under the individual booking policy less than 120 days before the sailing.

6. The Group Leader has the option to cancel their Group Shell within the 30-day option window. However, if a Cabin booking cancellation occurs seven (7) days after deposit, the deposit is non-refundable.

7. Certain travel dates may be excluded.

8. Cabins are assigned when the name and deposit are received.

9. While a Group may be booked at 120 days or less before the Voyage sail date, all Sailors will have to provide their financial information (and the entire Voyage fare is due) and their personal information at the time of booking, unless our Flexible Booking Policy is enacted at our sole discretion. No Group may be booked within fourteen (14) days of the intended Voyage.

10. Individual bookings may be converted to a Group before final payment is received if a minimum of eight (8) cabins is reached among all bookings. Individual bookings of at least eight (8) cabins may be converted to a Group up to fourteen (14) days before the Voyage sail date. For the avoidance of any doubt, the ten percent (10%) discount shall only be for those bookings made pursuant to Section III.1. below.

II.   Booking Process

1. Groups may be booked: 
  • Directly through Sailor Services by the Group Leader, or
  • Through a First Mate via Sailor Services or via FirstMates.com.
2. A twenty percent (20%) deposit on all Voyage fares of the Group Cabins, and the co-traveling Sailors’ requested information, is required within thirty (30) days after the Group Shell is created.

3. Deposits are non-refundable seven (7) days after booking.

4. Full payment will be due 120 days from the Voyage sail date for Group Sailors that placed a deposit 121 days or more from the Voyage sail date.

5. All Sailor information and the full payment is required for all Sailors for any Group booked 120 days (or less) from the Voyage sail date. So, depending on when the Group is booked, there may not be a 30-day hold option.
